To Our Valued Clients,

We recognize that recent discussions about the potential collection of health data by federal agencies—alongside the broader political climate—may raise valid concerns. Please be assured of our unwavering commitment to protecting your privacy and the confidentiality of your health information.

Your Privacy Rights

• Protected by HIPAA:
Your health records are safeguarded under the Health Insurance Portability and Accountability Act (HIPAA), which establishes strict federal standards to prevent the unauthorized disclosure of your personal health information. This includes details from your medical records, care discussions, insurance, and billing.

• Limited and Purposeful Disclosure:
We only share your health information with your explicit written consent, except in limited circumstances—such as for treatment, payment, healthcare operations, insurance billing, or when there is a clear and imminent risk of harm.

• Your Rights of Access and Control:
You have the right to access and review your records, request copies (a reasonable fee may apply), and request corrections if you believe any information is incomplete or inaccurate. You are also entitled to a clear explanation of how your health information may be used or shared.

Our Ongoing Commitment to You

  • The Children’s Program is a privately funded organization. We do not receive federal funding and do not participate in Medicare billing, ensuring our services remain independent and confidential.
  • We do not release your records without your explicit consent unless required by law under very specific and limited circumstances.
  • We are actively monitoring any developments related to potential data collection initiatives and remain vigilant in defending your privacy rights.
  • When billing your insurance, we share only the minimum information required. If additional details are requested, we make every effort to determine the reason for the request and carefully evaluate whether it is necessary and appropriate to release further information—always with your privacy in mind.
  • We understand the current environment may contribute to anxiety and uncertainty. Your therapist is available to discuss any concerns you may have.
  • If you have any questions about the diagnostic information submitted to your insurance, we encourage you to speak directly with your clinician for clarification.

Your mental well-being is our highest priority. We are here to support you with transparency, compassion, and care. If you have any questions or would like to speak further about the privacy of your health records, please do not hesitate to reach out.

Sincerely,
The Children’s Program Staff
